CLYO Committee Meeting MINUTES Friday 7th November 2008
Present: Julie Oldfield, Katharine Widdowson, Francesca Bridgewater, David Bridgewater, Joanne Powell, Julie McLeish

Concert 15th November
· DB sorting content copy for Programme, and delivering to Rosie Knighton of ArtForms.
· Tickets – KW printed them – prices to stay at £10 & £5 consessions
· Refreshments – to be complimentary. JO buying 2 wine boxes and 6 Shloer, 2X orange juice and Squash.
· JO setting up on Saturday. DB, JM, JC and KW to help serve.
· Soloist’s present – Small bunch of flowers & wine (about £30 each)
· Dougie – wine
· Youth Opera might put a flyer in the programme.
· Flyers for next concert to go in programme.
· It was suggested that there should be a sign outside the door informing people of the ticket price before they reach the desk.
· KW asked if LL was doing a press release.
Concert 13th December Horsforth
· Grove Methodist Church.
· All organised by the Church
· KW finding out about programme
Concert 15th March Leeds TownHall
· All organised by TH
· Give our programme details to Leisure Services
· No need to provide flowers.
Bag Packing in M&S
· 24/12 – apparently no split shift will be allowed.
· FB to contact Martin Smith to check arrangements and confirm in writing.
· FB to find out what players are needed, where they will play, for how long, and what.
Other Fundraising
· JO suggested we should set a target for the amount to raise this year. Need to ask DS if there are any special events that will require extra money.
Website
· Ric Ayre from Clearsilver has got the website up and running. It is currently on the Clearsilver server, for testing purposes (http://dev.clearsilver.co.uk/ric/clyo/)
· Content is needed eg
o Programme from concert can go on
o Photos of Poland (see Facebook, Sally B etc)
o Players’ biogs
o Blurb about Poland tour
o Future events (Giggleswick, future tours)
· DB & FB to be main Website managers, with a view to showing all Committee members how to use the site.
· JP suggested ‘launching’ the website.
· DB reminded the committee that at present the webhosting needs renewing for £50 at Christmas. The domain name is renewed every 2 years and will need paying November 2009.
Sponsorship
· Letter for schools needs rehashing – DB? Volunteered.
· Problems, as usual, of knowing who attends which school.
· Leeds Grammar School needs chasing.
· DB to take non-payers off the programme.
· KW said the Charles Brotherton Trust gives £250pa.
· A Mailing list for anyone interested was suggested, to be signed up for on the website eg teachers, parents…
AOB
It was suggested to build up an email list of the orchestra members, and parents if possible, for ease of communication. FB said she would ask Sally B if she had one already.
