CLYO Committee Meeting                     MINUTES      Friday 10th October 2008

Bag Packing in M&S

It was decided that FB would ask Martin Smith of M&S if it would be acceptable to split the Bag packing into two shifts, swapping about 1:30pm so lunch would not be required. JC pointed out that the stooping over the tills was bad from a H&S point of view. Also it was felt we might get more takers if the shifts were shorter. 

The possibility of playing music at the event was also to be discussed with M&S. 

If the outcome is positive it was agreed to keep the 2nd November date as well as Xmas eve. Fliers for the orchestra and parents will need to be distributed by Friday 17th October and a definite list of packers assembled by 24th October as it is then half term. Dougie may be able to organise the orchestra by section, to get them to nominate 2 or 3 people each section to prevent the same orchestra members always doing the work. 

Concert Refreshments

KW reiterated that she thinks it would be nice to give ‘free’ refreshments this concert, as the audience were so generous last year. There would still be a basket for voluntary donations! 

CLYO Friends

The idea was suggested of distributing a flier at the next concert (November 15th) explaining to all parents that they are automatically ‘Friends’ of CLYO and to ask them to give us their email addresses if they would like to be kept in touch, and so we can ask for help when necessary. 

Concert Program

It was decided to pin DS down about the program for the next concert asap. The committee needs to decide what they want on the program and posters and then liaise with Artforms (Rosie Knighton on 0113 2304074) to get them printed. It was suggested that only a few A4 posters are needed. The majority should be A5, which are easier to distribute. One option was to do leaflets (A4 folded in 3) to fit in leaflet racks. DB said he would search through the past programs and put together the basic layout. 

Date of next meeting

Friday 7th November was agreed, if JO is available. 

Signatories

KW has arranged to remove Emily Perkins and Wendy Kelvin as signatories for the Bank account, and replace them with JO and FB.
